Assign owners and review dates

Give every important document a person responsible for it and a date it gets looked at again.

Fixes
Ownership
Every important document has a person and a review date.
Time
A week
Part-time, alongside normal work.
Difficulty
Easy
Honest estimate for a 50–500 person company.

IndicationsUse this when

  • Nobody can say who's responsible for a policy.
  • Documents go years without a review.

ContraindicationsDon’t, or be careful, when

  • Don't assign everything to one person in People Ops. Spread ownership to the people who run the process.

EquipmentWhat you need

  • The inventory from P-01
  • A recurring calendar reminder

ProcedureSteps

  1. Add owner and next-review columns to the inventory.
  2. Assign each document to the person closest to the process, not just HR.
  3. Set review intervals: yearly for most policies, sooner for anything that changes often.
  4. Agree on a short change process: who approves, how people are told, how old versions are archived.
  5. Put the review dates on the owners' calendars.

ChecksHow you know it worked

  • Every live document has an owner and a date.
  • The first round of reviews happens on schedule.

HandoffWho owns it next

Owners keep their documents current. People Ops checks the inventory each quarter.
