Establish one source of truth

Get to one current, approved copy of the handbook and core policies, in one place.

Fixes
Sources
One current, approved copy of what you know.
Time
One to three weeks, part-time
Part-time, alongside normal work.
Difficulty
Easy
Honest estimate for a 50–500 person company.

IndicationsUse this when

  • People quote different versions of the same policy.
  • Documents live in many drives and inboxes.

ContraindicationsDon’t, or be careful, when

  • Don't try to clean up everything at once. Start with the handbook and the ten most-asked-about policies.

EquipmentWhat you need

  • A shared folder you control with clear permissions
  • A simple inventory spreadsheet: document, location, version date, owner

ProcedureSteps

  1. List every place policies and SOPs live today.
  2. For the handbook and top ten policies, find the latest approved version of each.
  3. Move those into one folder. Name files consistently, with the effective date in the name.
  4. Archive old versions in a separate, clearly labeled folder.
  5. Convert scans to text where you can. An open-source tool like Docling can parse PDFs and Word files.
  6. Tell the company where the source of truth lives.

ChecksHow you know it worked

  • Anyone can find the current handbook in under a minute.
  • No duplicates of the same policy in the live folder.

HandoffWho owns it next

The document owner (see P-02) keeps each file current.
